1. Proper Setup
Your cold email campaigns will fail without the right infrastructure. A solid domain provider ensures your emails aren’t blocked by spam filters.

Godaddy or Porbun provide the security and reliability you need, and their DNS management tools make it easy to set up SPF and DKIM records.

These are like verification badges for your emails, signaling to email providers that your messages are legitimate.

This reduces the chances of your emails ending up in spam folders. It is crucial when you're sending outreach at scale.

For creating an email account we have a couple of options in cold email

1.Google workspace
2.Outlook
3.Private SMTP Providers.

If you are a beginner in cold email, I wouldn't recommend using private ones. Because it is more tricky and completely built for agency owners that use this operation with very high volume. Just use Google Workspace and Outlook. They are the safest options. Don't create more than 2 accounts per domain. if you do, it could affect your deliverability harshly.

Domain addresses must not be the same domain you use actively. Because we don't want to waste your active accounts that you are communicating with your client. This is why you need to buy multiple domains in order to increase your email volume.

you can name your domain like this.

getairtable.com
tryairtable.com
airtablesolutions.com
airtabletry.com
airtableget.com
2. Verification: Hit Real Targets
Sending emails to inactive or invalid addresses not only wastes time also seriously damage your sender's reputation. Email service providers keep track of bounce rates—the percentage of emails that fail to reach their intended destination.

A high bounce rate signals to them that you’re sending poorly targeted or low-quality emails, and they’ll respond by filtering your messages to spam.

Regularly cleaning your list using tools like NeverBounce or ZeroBounce ensures that your messages are only going to real, active addresses.

Make verification a regular process, especially if your list is growing quickly or if your target market is dynamic, such as in industries with high employee turnover.
3. Using The Right Tools
Manually sending cold emails is not just inefficient; it severely limits your ability to scale and optimize. Specialized cold email tools like Smartlead and Instantly offer features you can’t get from your regular inbox, such as automated follow-ups, A/B testing, and detailed analytics on each email you send.

Without these tools, you’re flying blind—unsure of whether your emails are landing in inboxes or making an impact.
4. Email Health Check
Even with the right setup, your email accounts need ongoing maintenance to keep them performing well. Email providers look at your sender reputation to decide if your messages are trustworthy, and that reputation needs to be built over time.

This is why You need to consistently checking your email health indicators. so you can easilly detect what is going on on your domain. if need, you can replace it with another one.

Because we dont want to stop the campaign. for this, you need to also hold some backup domain and accounts that you already have

6. Humanize Your Emails
People hate receiving cold emails that feel like they were written by robots. Think about how many emails you ignore that start with, “Dear Sir/Madam” or end with a hard sales pitch. To stand out, you need to sound like a human being having a conversation, not a salesperson following a script.

Drop the corporate jargon and formalities, and write as if you were emailing a colleague. Using contractions, humor, or a casual tone can make your email more relatable and less transactional.

If you cant build trust at the first, It is so hard to progress while generating leads. You can use ai to personalize and feel them you are a real person in emails. For example, by scraping LinkedIn content of your leads You can increase the chance of the lead to answer your cold email offer.

The things that should and shouldnt be put in cold email
1- link
2- videos/pictures
3- spam words
4- sign up
5- open track
7. Personalization: Go Beyond {FirstName}
Basic personalization, like putting the recipient's name into the email, is the bare minimum. True personalization digs deeper, using specific details about the recipient’s company, role, or recent activities to show that you’ve done your homework.

Tools like Clay.com help by gathering data from various sources such as LinkedIn or company websites, enabling you to reference relevant details like a recent funding round or a new product launch.

For example, instead of “I noticed your company is growing,” you can say, “Congrats on your recent Series B funding! I think my service could help accelerate your growth even further.”

Personalization like this makes the email feel tailored to them, increasing the likelihood of a positive response.

Our goal is to show that your outreach isn’t just one of a hundred emails they’ve received, but something specifically crafted for their needs.

If you start thinking about how you can personalize the email, you will see There are tons of ways to do that.

That being said, You should focus on these things seriously if you don't want to miss opportunities.
8. Avoid Common Pitfalls
Cold emails can easily go wrong if you don’t know the traps to avoid. For starters, never attach files to your initial email—it’s a huge red flag for spam filters and potential recipients alike. People are hesitant to open attachments from unknown senders because they could contain malware. Instead, link to resources on your website or provide a call-to-action that leads them to your landing page. Keep your email short and concise; if your recipient has to scroll to read it, you’ve likely lost their attention.

Subject lines should be clear, not misleading. Something like “RE: Our conversation” when you’ve never spoken before just annoys the recipient and reduces your credibility.

Avoid being overly familiar too—terms like “buddy” or “rockstar” can come off as disingenuous if you haven’t established a relationship. Your goal is to be professional but approachable, balancing friendliness with respect for their time.

The list of what you shouldn't use in cold email.
9. Master A/B Testing
It’s impossible to know exactly what will work best in your cold emails without testing. A/B testing allows you to compare different versions of the same email to see which performs better.

You might test two subject lines—one that asks a question and another that makes a bold statement—and see which gets more opens.
Similarly, you can test different email copy, like a short version versus a longer story-based version, or experiment with different call-to-actions like “Book a Call” vs. “Let’s Chat.” Make sure to test one element at a time, so you can understand what’s making the difference.

Over time, this data helps you refine your strategy, continually improving your open, reply, and conversion rates. A/B testing isn’t just for big campaigns either; even smaller lists can benefit from consistent optimization.
10. Follow Up Like a Pro
You might think if someone doesn’t respond to your first email, they’re not interested. But that’s rarely the case. Most people are busy, and your email might have gotten lost in their inbox.

This is why you need to follow up your leads consistently. It shouldnt be something we underestimate.

A well-timed follow-up can often land you the response you’re looking for. The key is to space your follow-ups appropriately and add value each time. Don’t just send a “Did you see my last email?” message. Instead, include new information, like a relevant case study or an article that aligns with their business.

Each follow-up should feel fresh, not repetitive. Persistence pays off, but you have to balance it with respect for their time. A structured follow-up sequence, such as 3-4 days after the initial email, then again after 7 and 14 days, will increase your chances of getting a response without coming off as pushy.

if you send more than 3 follow-ups it could get your lead annoyed and you could see some negative returns. This damages the reputation of your company.
11. Leverage Social Proof
In today’s world, your cold email doesn’t exist in a vacuum. Before responding, many prospects will check out your online presence to gauge your credibility.

There are so many ways to prove your social existence. However, not all of them are effective for each business.

There is a difference between when your lead sees your content and social proof in your assets and he doesnt. The more you improve your social assets the more qualify client you have

Make sure your LinkedIn profile is optimized and aligned with the expertise you're promoting in your email.

Content creation is the most crucial part in this sense. Showing them you are the authority on the topic makes them vulnerable to trusting you about the topic.

Similarly, your website should clearly communicate your value proposition—nothing kills credibility faster than an outdated or poorly designed site.

Testimonials and case studies are also invaluable. If you don’t have any yet, consider offering your services at a discount to a few initial clients in exchange for a testimonial
